A Bay Area landscape contractor takes seven days to get an estimate out. Here is what happened when I ran his plan through a tool that does it in two.

I'm sitting with a man who runs eight hotels and I'm about to ask him the boring questions. Timeline, budget, and do you want this scoped as one process, one department or the whole company. I get about half of that out and he takes the pen off me. "I'm going to take X amount of hours and this is the number of hours and this is the price per hour is what it's going to cost to do this, this process etc. And then we'll make that commitment and then we'll see. But we won't get any commitment beyond that." Fixed hours, fixed price, one process, nothing promised past it. That's a better scope than the one sitting in my own proposal template, and he built it out loud in one breath while I was still reading from mine. Then, unprompted, he widened the starting scope from one hotel to all eight.

The best tool in her office is free, and it is the only one she can describe I'm on a call with the owner of a Bay Area design firm and I ask her what's actually working. Not what she bought. What's working. She goes straight to the meeting notes. "Which has been a lifesaver. We used to have somebody sit in the office taking notes." She's not slow and she's not disengaged, she's the founder, she's the one who pushed AI into that office in the first place. She just can't tell you what any of the expensive stuff does. The cheapest thing in the building was the only thing that landed.

Everything in that company runs through one property platform. Tenant complaints, work orders, vendor dispatch, vendor payment, all of it sits in the same system. Here's how he described it: "It's kind of a neural hub for us, but the systems within it currently suck."
